How to scan a document on your phone for clear printing
Get even lighting, square edges and the right page order when scanning with your phone. Check the saved file before printing it at full size.

Use a document-scanning mode, flatten the paper under even light and inspect the edges before saving. A scan that looks readable when zoomed in on a phone can still be disappointing when printed at the required size.
Prepare the page before taking the picture
Use a flat surface that contrasts with the paper, without shadows or reflections crossing the text. Clean the camera lens and hold the camera as parallel to the sheet as possible. Retake blurred areas rather than trying to sharpen detail that was never captured.
Leave enough room around the text when cropping. Preserve relevant margins, notes and stamps while removing the surrounding desk from the final scan.
Use a scanning tool on your phone
On iPhone, the Files app offers Scan Documents from its More menu, with corner adjustment, additional pages and saving. Apple documents the scanning process; Notes also has a scan tool.
On Android, Google Drive’s scanner supports capturing, cropping, rotating and adding pages, then saving a PDF. Check which account and folder receive the scan: that copy remains separate from any file you later upload to a printing service.
Assemble the pages in order
- Scan sequentially and immediately retake any shaky page.
- Correct each page’s rotation rather than assuming automatic detection is right.
- Check the first and last line for accidental cropping.
- Save one multi-page document and reopen it outside the scanning view.
- Check the count, sequence, duplicates and any important reverse sides.
Keep a colour copy when colour carries information. Before making a grayscale version, read when colour printing matters.
Check the final paper size
A scanned page may be saved with dimensions that differ from the original sheet. Choose the appropriate print size and test a page containing the smallest text. If an organisation requires a particular document format, follow its instructions; a clear scan alone does not establish that it will accept the copy.
Print from the saved file, not a screenshot of its preview. A screenshot can include the app’s frame and unnecessarily discard detail.
